Privacy Policy

1. Introduction

This Privacy Policy describes how Affiliona collects, uses, and shares information when you use the Service. It reflects how the platform actually behaves as of the date above. Capitalized terms not defined here have the meaning given in the Terms of Service.

2. Information We Collect

Account information. When you register, we collect your name and email address, and store a hashed password. We also store your email verification status and account status.

Organization information. When you create or join an organization, we collect business details such as name, website, industry, country, timezone, and currency, as well as member roles and verification status.

Self-declared location. You may voluntarily provide a country and, optionally, a region to determine geographic eligibility for programs. This is self-declared information; Affiliona does not infer your location from your IP address.

Referral identifiers. When you join a program, we generate a unique referral code that is used to attribute referrals to you.

Click and attribution information. When someone follows your referral link, we record a first-party cookie, a hashed version of the visitor's IP address, a hashed (and truncated) version of the browser user-agent, and, when provided by the browser, a truncated referring-page value and campaign parameters. This information is used to attribute conversions to the correct participant.

Conversion information. When a conversion is recorded (for example, a registration, purchase, or lead), we store the conversion type, an optional amount and currency, and, when supplied, the referred contact's email address.

Hiring and candidate information. For hiring referrals, we process privacy-minimized candidate identifiers and the milestone or status information a business provides. Candidate deduplication uses a hashed identifier that is separate from your account key.

Reward and payout information. We store records of rewards, commissions, and payout requests, including amounts, currencies, status, and payout account details you provide (such as a masked account identifier or email).

Communications. If you use the Service's notification features, we store your notification preferences and delivery history.

Logs and security information. We collect standard server and security logs, which may include IP addresses, request details, and error information, to operate and secure the Service.

3. Cookies and Tracking

Affiliona uses first-party cookies necessary for the Service to function: a session cookie to keep you signed in, a security token to prevent cross-site request forgery, and a referral cookie that records which participant's link a visitor followed so that a conversion can be attributed correctly. Affiliona does not use third-party advertising cookies, and does not currently use third-party analytics or tracking scripts.

4. How We Use Information

  • To create and manage accounts, organizations, and memberships;
  • To operate referral, affiliate, and hiring-referral programs and to attribute conversions to the correct participant;
  • To determine geographic eligibility based on the location you provide;
  • To compute honest leaderboards and to detect and flag fraud or abuse;
  • To send transactional and account-related communications, including verification and password-reset emails, and (where enabled) program and payout notifications;
  • To operate, secure, and improve the Service.

5. Sharing and Service Providers

We do not sell personal information. We share information only as needed to provide the Service: with service providers that help us operate the platform (such as a third-party email delivery service), with businesses in connection with programs you join (for example, a business sees the referrals, conversions, and rewards attributed within its own organization), and where required by law or to protect the safety and rights of Affiliona and its users. Businesses can access information only within their own organization and cannot access other organizations' data.

6. Retention

We retain account, organization, attribution, reward, and payout records for as long as an account or program remains active and as needed to operate the Service and comply with legal obligations. [Specific retention periods and any automated deletion schedule are to be finalized by qualified legal counsel; the current platform does not yet implement automated deletion of user records.]

7. Security

We use reasonable technical and organizational measures to protect your information, including hashed passwords, encrypted sessions, secure (HTTPS) transmission, and hashed identifiers for sensitive attribution data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Choices

You can update your account and organization information within the Service, and you can manage your notification preferences (in-app and email) from the notifications page. You can update or change your self-declared location at any time. You may request access to, correction of, or deletion of your personal information by contacting us. [A self-service account deletion and data-export mechanism is not yet available and is to be finalized by qualified legal counsel.]

9. Children

The Service is not directed to children under 18, and we do not knowingly collect personal information from children under 18. If you believe a child has provided us personal information, contact us and we will take steps to delete it.

10. International Considerations

Affiliona operates globally, and your information may be stored and processed in a jurisdiction other than your own. [Applicable data-protection law and any cross-border transfer mechanisms are to be finalized by qualified legal counsel.]

11. Changes to this Policy

We may update this Privacy Policy from time to time. When we make material changes, we will provide notice through the Service. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
